1. Introduction

Cliaro is an AI client portal platform operated by Aliasphere Solutions. When you use Cliaro, Aliasphere Solutions acts as the data controller responsible for your personal information.

This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and what rights you have. It applies to all users of the Cliaro platform and website. Please read it alongside our Terms of Service.

2. Information We Collect

When you register or use Cliaro, you provide us with information including your name, email address, company name, and any content you create on the platform such as project details, invoices, and client communications.

When you access Cliaro, we automatically collect usage data, including pages visited, features used, and actions taken within the platform. We also collect technical information such as your IP address, browser type, device type, and operating system.

Payment information such as billing address and payment method details is collected directly by Lemon Squeezy, our authorised payment processor, when paid subscriptions are activated. We do not store your full card details.

3. How We Use Your Information

We use the information we collect to: provide and operate the Cliaro platform; send transactional emails such as account notifications and invoice updates; respond to support requests; detect and prevent fraud or abuse; improve the Service; and comply with our legal obligations.

We do not sell, rent, or trade your personal data to third parties. We do not use your data for advertising purposes.

4. Data Storage and Security

Your data is stored on servers hosted by Supabase in the EU West 1 region (Ireland) on Amazon Web Services infrastructure. This means your data is stored within the European Union.

All data is encrypted in transit using TLS and encrypted at rest. We implement appropriate technical and organisational security measures to protect your data against unauthorised access, loss, or destruction. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

5. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you with the Service.

When you close your account or your subscription ends, we retain your data for 30 days to allow you to export it or reactivate your account. After 30 days, your data is permanently deleted. In some cases we may retain certain data for longer periods where required by law — for example, financial records or data subject to a legal hold.

6. Third-Party Services

To provide the Service, we work with trusted third-party providers. Each of these providers is bound by appropriate data processing terms and their own privacy policies.

Our current third-party service providers include: Supabase (database and authentication infrastructure), Resend (transactional email delivery), Vercel (application hosting and edge network), and Lemon Squeezy (billing and payment processing, used for paid subscriptions). We will update this list if we add or change providers.

7. Client Data

If you use Cliaro to manage data about your own clients — such as their names, contact details, or project information — you are the data controller for that data. You are responsible for obtaining any necessary consent and for ensuring you have a lawful basis for processing your clients' personal data.

Aliasphere Solutions processes your clients' data on your behalf as a data processor. We handle that data only as directed by your use of the platform and do not use it for any purpose of our own. If your clients have questions about how their data is handled within your portal, those queries should be directed to you as the data controller.

8. Your Rights

Depending on your location, you may have the right to: access the personal data we hold about you; correct inaccurate or incomplete data; request deletion of your data; receive a copy of your data in a portable format; and restrict or object to certain types of processing.

These rights are recognised under the Nigeria Data Protection Regulation (NDPR) and, for users in the European Union, under the General Data Protection Regulation (GDPR). We are committed to honouring your rights regardless of your location.

9. Cookies

Cliaro uses only essential cookies necessary to operate the Service. These include session cookies for authentication and cookies that remember your login state. Without these cookies, the Service cannot function correctly.

We do not use tracking, analytics, or advertising cookies. We do not use any third-party cookie-based advertising networks. You can manage cookies through your browser settings, but disabling essential cookies will prevent you from logging in to Cliaro.

10. Children's Privacy

Cliaro is not directed at individuals under the age of 18. We do not knowingly collect personal data from anyone under 18. If we become aware that we have inadvertently collected data from a minor, we will take steps to delete it promptly. 11. International Data Transfers

Your personal data is primarily stored in the European Union (EU West 1 region, Ireland). For users in the EU or UK, no cross-border transfer to a third country occurs for primary data storage.

In limited cases, data may be processed outside the EU — for example, where a sub-processor operates globally or when you access the Service from outside the EU. Where such transfers occur, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) or equivalent protections recognised under applicable law.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make significant changes, we will notify you by email or through a prominent notice within the Cliaro application. The "Last updated" date at the top of this page reflects when the policy was most recently revised. We encourage you to review this policy periodically.
